We are seeking a dynamic and highly organized Office Administrator to join our team! Duties

  • Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Oversee calendar management and scheduling for meetings, appointments, and events using tools like Google Workspace and Microsoft Office
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization across all administrative records
  • Handle bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping and invoicing
  • Provide exceptional customer support by addressing inquiries promptly via phone or email, ensuring positive client interactions
  • Assist with clerical duties such as typing correspondence, managing mail distribution, and supporting personal assistant tasks for team members

Qualifications

  • Proven experience in office management or administrative roles with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry software
  • Familiarity with QuickBooks for bookkeeping and basic financial tasks
  • Excellent phone etiquette skills with experience managing multi-line phone systems
  • Previous experience as a dental or medical receptionist is a plus; familiarity with calendar management and patient record handling is beneficial
  • Strong typing skills along with attention to detail for proofreading and document accuracy
  • Demonstrated ability to prioritize tasks efficiently using time management strategies in a fast-paced environment
