ABOUT JOB
We are seeking a dynamic and highly organized Office Administrator to join our team! Duties
- Manage front desk operations, greeting visitors and directing them appropriately to ensure a positive first impression.
- Operate multi-line phone systems with professionalism, answering inquiries promptly and routing calls efficiently.
- Maintain accurate data entry using tools like QuickBooks, Microsoft Office, and Google Workspace to support bookkeeping, invoicing, and record-keeping.
- Handle clerical tasks such as filing, proofreading documents, scheduling appointments, calendar management, and organizing office supplies.
- Provide excellent customer service by assisting clients and team members with inquiries, support requests, and general information.
- Support office management activities including organizing meetings, managing correspondence, and overseeing office equipment maintenance.
- Utilize strong organizational skills to prioritize tasks effectively while demonstrating excellent phone etiquette and time management.
- Conduct periodic follow-up calls to patients and/or caregivers to assess satisfaction, address concerns, and provide assistance.
- Assist with processing and tracking invoices related to therapy services.
Qualifications
- Proven experience in office administration or clerical roles with a strong background in office management.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy.
- Excellent organizational skills with keen attention to detail; ability to multitask efficiently in a busy environment.
- Strong communication skills including professional phone etiquette and customer support experience.
- Previous administrative or office experience required (healthcare or home health experience preferred)
- Knowledge of multi-line phone systems, data entry procedures, filing systems, and calendar management tools.
