ABOUT JOB
We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of daily office activities, providing exceptional customer service, and supporting administrative functions. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills.
Duties
- Answer multi-line phone systems promptly, directing calls accurately and courteously using proper phone etiquette
- Manage front desk operations including scheduling appointments, handling mail, and maintaining office supplies
- Perform data entry and maintain organized filing systems both physically and digitally using Google Workspace and Microsoft Office tools
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
- Assist with bookkeeping duties using QuickBooks or similar accounting software to ensure accurate financial records
- Provide clerical support including proofreading documents, preparing reports, and managing correspondence
- Handle customer support inquiries with professionalism, ensuring timely resolution of issues
- Maintain a clean, organized workspace while adhering to office policies and procedures
Skills
- Must have 3 years of Experience
- Proven experience in office management or administrative support roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent computer literacy including data entry, document proofreading, and file management
- Familiarity with QuickBooks or other bookkeeping software is a plus
- Strong multi-tasking abilities with effective time management skills to prioritize workload efficiently
- Exceptional customer service skills with the ability to handle phone inquiries professionally and courteously
- Bilingual abilities are highly desirable to assist diverse client needs
- Experience working as a receptionist or medical/dental receptionist is advantageous
- Personal assistant experience or familiarity with calendar management enhances your fit for this role
- Knowledge of office equipment such as multi-line phone systems, fax machines, printers, and scanners
