ABOUT JOB
We are looking for an organized, proactive, and adaptable Office Assistant, Operations Coordinator to join our corporate office team and help support the day-to-day operations of our growing company.
This position is ideal for someone who enjoys variety, has a strong ‘can-do’ attitude, and likes helping solve problems across multiple departments.
Our leadership team operates very collaboratively, and this role will work closely with executives and department heads on a wide variety of administrative, operational, financial, and coordination-related tasks.
The ideal candidate is highly organized, dependable, detail-oriented, resourceful, and comfortable taking initiative wherever needed.
Key Responsibilities
Administrative & Office Support
- Manage incoming and outgoing mail
- Scan, print, organize, and file company documents
- Maintain office organization and inventory
- Assist with scheduling and calendar coordination
- Prepare reports, spreadsheets, and documents
- Coordinate meetings, mailings, and office logistics
- Organize digital files and shared drives
- Track assignments and follow-up items
Accounts Payable Support
- Assist with invoice organization and routing
- Upload invoices and paid bills to Google Drive
- Track vendor payment approvals and statuses
- Prepare checks and payment packets
- Coordinate vendor follow-up as needed
- Assist with reimbursement tracking and filing
Operations & General Support
- Assist with recurring operational reporting
- Support property onboarding and operational setup tasks
- Coordinate special initiatives and assist in project management
Qualifications
- Highly organized with strong attention to detail
- Strong communication and follow-through skills
- Ability to manage and track multiple tasks and priorities simultaneously
- Efficient and resourceful – an independent problem solver
- Positive, proactive, and team-oriented attitude
- Professional and trustworthy with confidential information
- Comfortable learning and experimenting with new software and systems
Preferred Experience
- Administrative, office coordination, or operations experience
- Accounts payable or bookkeeping support experience preferred
- Experience with Google Workspace, Slack, spreadsheets, and task management systems
- Experience in property management or operations environments is a plus!
