ABOUT JOB

 

This position is primarily responsible for providing administrative, clerical, and office support to the leadership team.

Essential Duties and Responsibilities:

  • Administrative support to Project Manager, warehouse team, purchasing team, and leadership.
  • Performs necessary research pertaining to assigned special projects.
  • Assist with preparation of department reports
  • Confers with vendors to obtain product or service information such as price, availability, and delivery schedule.
  • Prepares purchase orders or bid requests.
  • Reviews invoices for accuracy prior to payment.
  • Prepares various data analysis reports for review by the Chief Financial Officer.
  • Communication on behalf of management with clients (appointment setting, call screening)
  • Creation and management of various departmental spreadsheets
  • Inventory and Ordering of supplies
  • Reviews requisitions/purchase requests
  • Auditing of client accounts and contract renewal dates
  • Management of in/outbound communications via fax, email, USPS mail
  • Performs other related duties as needed

Education and/or Work Experience Requirements:

  • Must be highly proficient in Excel
  • High school diploma or equivalent; and one year of related experience and/or training; or equivalent combination of education and experience.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply common sense understanding to carry out instructions furnished in written, verbal or diagram form.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
  • Proven ability to handle multiple projects and meet deadlines
  • Ability to deal effectively with a diversity of individuals at all organizational levels.
  • Commitment to excellence and high standards.

Computer Skills:

To perform this job successfully, an individual should have knowledge of accounting software; Contact Management systems; Database software; Internet software; Spreadsheet software and Word Processing software. Highly proficient in excel.
