ABOUT JOB
We are seeking a dynamic and organized Part-Time Office Assistant to join our team! Responsibilities
- Answer multi-line phone systems promptly and courteously, directing calls accurately and efficiently.
- Perform data entry and maintain organized filing systems, both physical and digital, ensuring easy retrieval of information.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
- Manage calendar appointments, schedule meetings, and coordinate events to optimize office productivity.
- Support office management activities including supply inventory, ordering materials, and maintaining equipment.
- Proofread documents for accuracy and clarity, ensuring all communications are polished and professional.
- Provide general administrative support such as photocopying, scanning, mailing, and organizing files.
- Utilize Microsoft Office Suite and Google Workspace tools to prepare reports, presentations, and correspondence.
- Demonstrate excellent phone etiquette while handling inquiries from clients or team members with professionalism.
- Assist with personal assistant tasks as needed, including time management and scheduling for senior staff.
Experience
- Prior clerical or administrative experience in an office environment is preferred but not required; enthusiasm to learn is key!
- Familiarity with Office management tools such as QuickBooks, Microsoft Office (Word, Excel), and Google Workspace is highly desirable.
- Experience with multi-line phone systems and front desk operations will help you succeed in this role.
- Strong organizational skills combined with excellent time management will enable you to handle multiple responsibilities efficiently.
- Proven attention to detail through proofreading or data entry tasks ensures accuracy in all work performed.
- Demonstrated computer literacy and proficiency in typing will support your success in managing various digital tools seamlessly.
