JOB DETAILS
Duties
- Manage complex calendars, schedule appointments, meetings, and events using Microsoft Outlook Calendar and Google Workspace tools.
- Coordinate travel arrangements, including booking accommodations, transportation, and preparing itineraries.
- Handle correspondence via phone, email, and messaging platforms with professionalism and courtesy, demonstrating excellent phone etiquette.
- Prepare, proofread, and transcribe documents, reports, and presentations with accuracy and attention to detail.
- Organize files, maintain records, and oversee filing systems both digitally and physically to ensure easy retrieval of information.
- Assist with bookkeeping tasks using QuickBooks or similar software, including data entry and basic financial record keeping.
- Support project coordination efforts by tracking deadlines, preparing materials, and liaising with team members to ensure timely completion of tasks.
- Oversee office management duties such as ordering supplies, managing front desk operations, and maintaining a welcoming environment.
- Utilize office technology including multi-line phone systems, Microsoft Office Suite (Word, Excel), Google Workspace applications, and DocuSign for document signing processes.
Skills
- Proven experience as a Personal Assistant or in an executive administrative support role with strong organizational skills.
- Exceptional proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry tools.
- Skilled in event planning and coordinating meetings or large-scale functions efficiently.
- Strong typing speed combined with excellent proofreading and transcription abilities for accurate document preparation.
- Knowledge of bookkeeping software such as QuickBooks along with basic bookkeeping practices.
- Excellent communication skills with professional phone etiquette across multi-line phone systems.
- Demonstrated ability to manage calendars effectively using Microsoft Outlook Calendar or similar tools.
- Office management experience including filing systems, front desk responsibilities, and general clerical duties.
- High level of computer literacy with familiarity in office equipment and software applications relevant to administrative tasks.
- Ability to handle confidential information discreetly while maintaining a positive customer service attitude.
