ABOUT JOB
We are seeking an energetic and highly organized Personal Assistant to provide comprehensive administrative support to executives and teams. This role is vital in ensuring smooth daily operations, managing schedules, coordinating projects, and handling a variety of clerical tasks with precision and professionalism. Duties
Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with attention to detail.
Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing itineraries.
Handle correspondence via email, phone calls, and written communication with professionalism and courtesy, practicing excellent phone etiquette.
Assist with event planning for meetings, conferences, and company functions from start to finish.
Perform data entry, filing, document proofreading, transcription, and maintain accurate records using Office management tools like Microsoft Office and QuickBooks.
Support bookkeeping tasks such as invoicing, expense tracking, and basic financial recordkeeping using QuickBooks or similar software.
Facilitate project coordination by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
Use DocuSign for electronic signatures on contracts or important documents as needed.
Provide executive administrative support by preparing presentations, reports, and assisting with special projects as assigned.
Experience
Proven experience as a Personal Assistant or in an administrative support role within an office environment.
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.
Demonstrated proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications (Gmail, Docs), and data entry systems.
Experience with bookkeeping or financial recordkeeping using QuickBooks is highly desirable.
Excellent typing skills combined with meticulous proofreading abilities for document accuracy.
Familiarity with office management procedures including filing systems and front desk operations.
Exceptional customer service skills with the ability to handle multi-line phone systems professionally.
Knowledge of project coordination tools and techniques to support team initiatives effectively.
