ABOUT JOB

 

We are seeking a responsible, organized, and discreet bilingual Personal Assistant .

 

Key Responsibilities

  • Help the employer understand medical instructions, appointment information, test preparations, medication directions, and follow-up requirements.
  • Pick up prescription medications and assist with pharmacy communications.
  • Organize medical documents, appointment records, test results, receipts, and related correspondence.
  • Maintain confidentiality and handle all medical information with discretion.
  • Be willing and comfortable remaining present, when requested by the employer and permitted by the healthcare provider, during sensitive or intimate/private medical examinations.

2. Personal Administration

  • Manage personal appointments, schedules, reminders, and day-to-day administrative tasks.
  • Communicate with landscapers, repair professionals, estate managers, and other home service providers to keep up with home maintenance.
  • Assist with scheduling and coordinating home maintenance, repair, and vehicles maintenance.
  • Review and summarize emails, letters, notices, estimates, invoices, contracts, and other correspondence.
  • Follow up with service providers regarding schedules, project progress, outstanding work, invoices, and payments.
  • Organize household records, bills, receipts, warranties, proposals, and other important documents.
  • Assist with bill payments and maintain accurate records of completed and outstanding payments.
  • Compare estimates and help track project costs, deadlines, and deliverables.

Qualifications

  • Strong English reading and writing skills.
  • Excellent organizational, scheduling, and follow-up skills.
  • Strong attention to detail, especially when reviewing bills, appointments, instructions, and documents.
  • Professional, patient, trustworthy, and discreet.
  • Comfortable communicating with medical professionals, contractors, designers, billing departments, and service providers.
  • Able to manage multiple tasks and changing priorities independently.
  • Proficiency with email, text messaging, online scheduling systems, digital documents, and basic recordkeeping.
  • Prior experience as a personal assistant, medical coordinator, patient advocate, interpreter, executive assistant, or household manager is preferred.
