ABOUT JOB
We are seeking a proactive and highly organized Personal Assistant to provide exceptional administrative support to our executive team. Responsibilities
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
- Provide comprehensive administrative support including drafting correspondence, proofreading documents, and transcribing meetings or notes.
- Coordinate and organize events, meetings, and conferences from planning stages through execution to ensure seamless experiences.
- Handle phone etiquette professionally across multi-line phone systems, screening calls and directing inquiries appropriately.
- Maintain meticulous filing systems—both digital and physical—ensuring easy retrieval of documents and records.
- Perform data entry tasks with accuracy using tools like QuickBooks for bookkeeping and financial record-keeping.
- Support office management duties such as supply procurement, front desk responsibilities, and overseeing office procedures to enhance productivity.
- Assist with project coordination by tracking deadlines, preparing reports, and liaising with team members to ensure timely completion of tasks.
- Utilize office software including Microsoft Office Suite (Word, Excel, PowerPoint) to create reports, presentations, and spreadsheets as needed.
- Manage personal errands or scheduling requests for executives to optimize their time effectively.
Skills
- Proven experience as a Personal Assistant or in an administrative support role with strong organizational skills.
- Exceptional calendar management abilities using Microsoft Outlook Calendar and Google Workspace tools.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry software like QuickBooks.
- Excellent typing speed coupled with transcription skills for accurate note-taking and document creation.
- Strong office management capabilities including filing systems, front desk operations, and supply oversight.
- Effective communication skills demonstrating professional phone etiquette across multi-line phone systems.
- Detail-oriented proofreading skills to ensure error-free correspondence and documents.
- Experience with event planning—from logistics coordination to execution—ensuring memorable professional gatherings.
- Knowledge of office equipment such as fax machines, scanners, photocopiers, and office furniture setup.

Job Types: Part-time, Contract
Pay: $29.48 – $39.87 per hour
