We are seeking a proactive and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. Duties
- Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
- Coordinate complex travel arrangements, including booking flights, accommodations, transportation, and preparing itineraries.
- Handle incoming calls with professionalism and courtesy using multi-line phone systems, screening and directing inquiries as needed.
- Prepare, proofread, and transcribe documents, correspondence, reports, and presentations with accuracy and attention to detail.
- Organize files, maintain records through efficient filing systems—both digital and physical—and ensure easy retrieval of information.
- Support bookkeeping tasks using QuickBooks for expense tracking, invoicing, and basic financial record-keeping.
- Assist with event planning for meetings, conferences, or company functions from start to finish.
- Perform data entry tasks with high accuracy while managing clerical responsibilities such as filing and office supply management.
- Provide exceptional customer service by addressing inquiries promptly and professionally at the front desk or via email.
- Utilize office management skills to oversee general office operations ensuring a productive work environment.
Skills
- Proven experience as a Personal Assistant or in an executive administrative support role with strong organizational skills.
- Exceptional proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
- Excellent typing speed combined with transcription and proofreading capabilities for clear communication.
- Strong project coordination abilities to manage multiple tasks simultaneously under tight deadlines.
- Familiarity with QuickBooks for bookkeeping and basic financial management tasks.
- Knowledge of office management procedures including filing systems, data entry, and clerical processes.
- Outstanding phone etiquette with experience handling multi-line phone systems professionally.
- Demonstrated ability to manage calendars efficiently using Microsoft Outlook Calendar or similar tools.
- Experience in event planning from logistics coordination to execution of company functions or meetings.
- Computer literacy across various platforms with a focus on productivity software and office technology.

Pay: $24.00 – $30.00 per hour
