ABOUT JOB
We are seeking a highly organized and proactive Personal Assistant to the CEO who will provide direct day-to-day support and ensure the smooth management of the CEO’s personal and professional commitments. This role requires exceptional discretion, attention to detail, and the ability to anticipate needs before they arise. The Personal Assistant will be responsible for managing logistics, handling sensitive information, and creating an environment where the CEO can focus on high-priority initiatives.
This individual must demonstrate reliability, adaptability, and strong interpersonal skills while operating in a fast-paced, high-stakes environment.
Key Responsibilities
Calendar & Daily Coordination
Manage and maintain the CEO’s personal and professional calendar.
Schedule appointments, meetings, and personal engagements with precision.
Coordinate daily logistics to minimize conflicts and maximize efficiency.
Ensure the CEO has adequate preparation time and buffers between commitments.
Communication & Liaison
Handle incoming calls, messages, and correspondence with discretion.
Draft and manage personal communications on behalf of the CEO when appropriate.
Serve as the first point of contact for internal and external stakeholders.
Maintain confidentiality and filter requests to protect the CEO’s time.
Travel & Logistics
Arrange complex travel itineraries, including flights, accommodations, and ground transportation.
Prepare detailed travel briefs and ensure seamless execution of trips.
Coordinate logistics for personal and professional events.
Meeting & Preparation Support
Organize materials and briefing notes for meetings and engagements.
Ensure the CEO is fully prepared with context, objectives, and key details.
Capture notes and follow-up items when required.
Confidentiality & Judgment
Handle sensitive information with the utmost discretion.
Exercise sound judgment in determining what requires escalation vs. independent resolution.
Maintain trust and integrity in all interactions.
Qualifications:
3+ years of experience as a Personal Assistant, Executive Assistant, or similar role supporting senior leadership.
Proven ability to manage complex schedules and logistics.
Strong organizational skills and attention to detail.
Excellent written and verbal communication abilities.
High level of discretion, professionalism, and emotional intelligence.
Proficiency in Microsoft Office Suite and digital collaboration tools.
