ABOUT JOB

 

We are seeking a highly organised, proactive and personable Personal Assistant to support the Director across a fast-paced and dynamic business environment.

This role blends executive support with personal assistance and lifestyle coordination, requiring someone who is equally comfortable managing schedules and administration as they are handling the moving parts of a busy day-to-day life.

The successful candidate will help bring structure, organisation and calm across both professional and personal priorities, acting as a trusted right-hand support person across a broad range of responsibilities.

The ideal candidate is adaptable, intuitive, detail-oriented and able to anticipate needs before they arise. No two days will look exactly the same, so a flexible and solutions-focused mindset is essential.

We are looking for someone with genuine initiative and grit – someone who is happy to roll up their sleeves, problem-solve on the go and handle both polished administrative work and the unpredictable realities of a busy working environment with equal enthusiasm.


Key Responsibilities

  • Managing calendars, appointments and scheduling
  • Coordinating meetings, reservations, travel and itineraries
  • Assisting with email correspondence and administrative tasks
  • Preparing documents, presentations and reports
  • Supporting day-to-day coordination across the business
  • Liaising with internal teams, suppliers and external stakeholders
  • Assisting with invoicing, expenses and general administration
  • Tracking tasks, timelines and follow-up actions
  • Managing personal appointments and lifestyle scheduling
  • Managing online orders, returns and general personal administration
  • Assisting with travel research, bookings and itinerary coordination
  • Helping maintain organisation across both business and personal priorities
  • Handling ad hoc requests and last-minute changes with efficiency and discretion
  • Acting as a reliable point of support across the Director’s day-to-day life

Skills & Experience

  • Previous experience in an administrative, coordinator, assistant or PA role
  • Strong organisational and time management skills
  • Excellent written and verbal communication
  • High attention to detail
  • Ability to multitask and prioritise effectively
  • Professional and approachable manner
  • Strong discretion and confidentiality
  • Proficiency across Microsoft Office and Google Workspace
  • Experience in hospitality, creative or fast-paced environments highly regarded
