ABOUT JOB

 

Our client  is seeking a highly organized Administrative Assistant . This role works in close partnership with the office’s senior-level Executive Assistant and provides essential administrative, expense, and event-planning support. The position plays a key role in ensuring the smooth day-to-day operations of the office and supporting senior leadership in a fast-paced environment.

 

Administrative & Executive Support

  • Assist with calendar management, meeting coordination, and travel arrangements as directed by the Executive Assistant.
  • Provide support on ad hoc projects and special initiatives for the leadership team.
  • Handle sensitive and confidential information with the utmost discretion.

 

Expense Management (Primary Owner)

  • Prepare, submit, and track expense reports accurately and on time, in accordance with firm expense policies.
  • Partner with Finance and internal stakeholders to resolve expense-related questions or discrepancies.

 

Travel Arrangements and Planning (Primary Owner)

  • Coordinate domestic and international travel arrangements for the Head of Blackstone Real Estate and related leadership, in alignment with direction and priorities set by the Executive Assistant.
  • Prepare detailed travel itineraries and ensure all logistics are confirmed in advance of travel.
  • Monitor travel schedules for changes or disruptions and proactively manage any necessary re-bookings.

 

Qualifications

  • Bachelor’s degree preferred.
  • 5+ years of administrative or executive support experience, preferably within financial services, real estate, or a similarly dynamic professional environment.
  • Experience with expense management (preferably Concur) and event planning.
  • Exceptional organizational skills and strong attention to detail.
  • Effectively manage multiple priorities and meet deadlines with minimal supervision.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
  • Professional presence, sound judgment, and discretion when working with senior-level leadership.

Expected annual base salary range:

$70,000 – $130,000
