ABOUT JOB
As the first point of contact for our clients, visitors, and staff members, the Receptionist plays a crucial role in providing excellent customer service and maintaining a positive image of the firm. This position requires exceptional communication skills, attention to detail, and the ability to handle multiple tasks simultaneously.
Responsibilities:
- Answering phone calls, screening, and transferring calls to appropriate individuals within the firm
- Managing and distributing incoming and outgoing mail, faxes, and courier deliveries
- Scheduling appointments, meetings, and conference room bookings
- Maintaining the reception area’s cleanliness and ensuring it is well-stocked with necessary supplies.
- Assisting with administrative tasks, including photocopying, scanning, and filing documents
- Collaborating with other administrative staff to ensure seamless operations and support for attorneys.
- Maintaining confidentiality and professional standards and ethics.
- Assisting with other general office duties and projects as assigned by supervisors.
Job Qualifications
- Proven experience as a receptionist or in a similar customer-facing role
- Excelling verbal and written communication skills, with a friendly and courteous demeanor
- Strong organizational and multitasking abilities
- Knowledge of legal terminology, procedures, and law firm operations is preferred but not mandatory.
- Strong problem-solving skills and the ability to remain calm and composed under pressure.
- Exceptional interpersonal skills and the ability to work effectively in a team environment.
