ABOUT JOB

 

We are seeking a dependable, organized, and professional Receptionist / Administrative Assistant to provide front-desk coverage and essential administrative support to the Office Manager and Executive Director. This role is ideal for someone with strong communication and multitasking skills who thrives in a fast-paced, child-centered environment. Prior experience in a preschool or special needs setting is highly preferred.

Key Responsibilities:

Front Desk & Family Engagement

  • Greet and assist families, visitors, staff, and vendors with warmth and professionalism
  • Answer, screen, and direct incoming calls; take and relay accurate messages
  • Receive and distribute mail, packages, and deliveries

Administrative Support

  • Provide clerical support including copying, scanning, data entry, and filing
  • Assist with preparing documents, forms, and communications for internal and external use
  • Support the Office Manager with maintaining personnel files, staff credentials, and compliance documentation
  • Help organize school events, meetings, and parent communications

Compliance & Documentation

  • Ensure files for students and staff are accurate, complete, and securely maintained
  • Assist with follow-up on staff training records, fingerprint clearances, and health documentation
  • Maintain a clean and organized reception and office area, including bulletin boards and posted notices

Technology & Communication Tools

  • Use Microsoft OfficeGoogle Workspace, and shared drives for daily tasks
  • Assist with document creation using tools like Canva when needed
  • Communicate effectively with families and staff via email, phone, and in person

Qualifications:

  • 1–2 years of experience in an office, school, or administrative role
  • Excellent interpersonal, communication, and organizational skills
  • Comfort with multitasking and handling sensitive information with discretion
  • Proficiency in Microsoft Word, Excel, and Google Workspace; Canva experience a plus
  • Ability to work collaboratively as part of a small administrative team

Compensation: Competitive salary, based on experience, education, and relevant qualifications.

Job Type: Full-time

Pay: $20.00 – $25.00 per hour
