Job Description

JOB  SUMMARY

<Responsibilities>

  • Manage incoming inquiries via multi-line phone systems and email, providing prompt and professional responses to potential clients and existing customers
  • Assist with calendar management and appointment scheduling for sales representatives using tools like Google Workspace and Microsoft Office
  • Support data entry tasks, including updating CRM systems, maintaining accurate records of client interactions, and processing sales documentation
  • Handle filing, proofreading, and organizing digital documents to ensure easy retrieval and compliance with company standards
  • Provide excellent customer service by addressing client questions, offering product or service information, and ensuring a positive experience
  • Coordinate with team members on project timelines, follow-ups, and task prioritization to keep sales activities on track
  • Support office management tasks such as inventory tracking, basic bookkeeping using QuickBooks, and maintaining office supplies records

<Requirements>

  • Proven experience in office administration or clerical roles with strong organizational skills and attention to detail
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and data entry skills
  • Prior experience with customer service or customer support roles demonstrating strong phone etiquette and communication skills
  • Familiarity with multi-line phone systems, calendar management tools, and basic bookkeeping software like QuickBooks is highly desirable
  • Bilingual abilities are a plus for supporting diverse clients and team members
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Previous experience as an administrative assistant or virtual assistant in sales or office settings is preferred
  • Knowledge of office management procedures including filing systems, proofreading documents, and handling confidential information
