ABOUT JOB
We are seeking a highly organized Secretary Executive Assistant to join our team on a remote, part-time basis. This role is perfect for a proactive professional who thrives in a fast-changing environment and is eager to provide exceptional administrative support to executive leadership. Graphic design & marketing skills are desirable. As a key member of our team, you will manage a variety of administrative tasks, coordinate projects, and ensure smooth daily operations with enthusiasm and precision. Your ability to multitask, communicate effectively, and demonstrate strong organizational skills will be vital in helping our organization run efficiently and effectively.
Duties
- Provide comprehensive executive administrative support, including managing calendars, scheduling appointments, and coordinating meetings using tools like Microsoft Outlook Calendar and Google Workspace.
- Handle phone etiquette with professionalism direct inquiries appropriately.
- Assist with event planning for company meetings, webinars, and special events, ensuring all logistics are meticulously organized.
- Perform data entry, filing, and document management tasks using Microsoft Office Suite and Google Workspace to maintain accurate records.
- Support bookkeeping activities such as invoicing and expense tracking.
- Conduct proofreading, transcription, and document review to ensure accuracy and clarity in all communications.
Skills
- Proven experience in executive administrative support or personal assistant roles with strong organizational skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
- Excellent typing speed combined with meticulous proofreading and transcription abilities.
- Knowledge of office management procedures including filing systems, clerical tasks, and front desk operations.
- Experience with event planning, project coordination, and calendar management to streamline schedules efficiently.
- Familiarity with bookkeeping tasks and DocuSign for digital signatures.
- Strong customer service skills paired with professional phone etiquette.
