JOB DETAILS
Key Responsibilities:
- Executive Calendar Management: Streamline executive schedules by expertly managing appointments, coordinating with internal teams and external partners, organizing high-priority meetings, and proactively resolving scheduling conflicts to maximize productivity.
- Strategic Email Oversight: Enhance communication flow by effectively managing executive inboxes, prioritizing, responding to, and flagging critical messages, drafting professional correspondence, and ensuring prompt attention to urgent matters.
- Prepare Presentations and Reports: Develop high-quality presentations, spreadsheets, and documents.
- Social Media Management: Oversee executive-level social media profiles and engagement.
- Create Workflows and Processes: Design and optimize processes to improve efficiency.
- Research and Recommend Technologies: Stay ahead of industry trends by researching tools and solutions.
- CRM Administration: Update and manage CRM systems for accurate data management.
- Travel Coordination: Plan and arrange all travel needs, including flights, accommodations, and logistics.
- Event Planning: Organize meetings, conferences, and other vital events.
- Ad Hoc Assistance: Provide personal support to ensure executives remain focused on strategic priorities.
Required Skills and Attributes:
- Tech-Savvy: Proficient in digital tools and platforms for seamless virtual support.
- Strong Communication: Excellent written and verbal communication skills.
- Detail-oriented: High attention to detail, ensuring accuracy in all tasks.

- Availability: Must be available during business hours and flexible to work outside standard hours, including travel.
Preferred Qualifications:
- Minimum 5+ years of administrative experience, including 2+ years supporting senior executives.
- Available daily (Mon-Fri) during business hours, and can dedicate at least 20 hours/week.
- Willingness to work outside standard business hours as necessary
- Willingness to travel as needed
- A bachelor’s degree and experience working remotely are preferred
- Reliable home office setup: a Mac or PC with a dual-core processor, 8GB RAM, webcam, and the latest version of MS Office.
- High-speed internet and a smartphone with email capabilities.
- A designated, quiet workspace to maintain professionalism.
