ABOUT JOB
Key Responsibilities:
- Assist with scheduling meetings, appointments, and travel arrangements for CEO, COO and other executives as needed.
- Scheduling meetings for the Board of Directors, preparing and distributing materials, and being responsive to their needs.
- Compile the Board book from leadership board report materials and send the Board book out in advance of the quarterly board meeting.
- Attend Board and committee meetings, preparing accurate minutes, and ensuring timely follow-ups of action items.
- Maintain confidential executive information.
- Maintain the Board data portal, ensuring it is up to date and accessible.
- Provide administrative and project support to the executive leadership team, ensuring coordination and follow-up on meetings and Board interactions.
- Provide support for key organizational events, such as fundraisers, donor meetings, and public engagements.
- When appropriate answer phones and take messages for appropriate parties.
- Reconcile corporate credit card receipts, and purchasing for executives.
Qualifications:
Required:
- Minimum 2 years of administrative experience in a large organization.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, etc.)
- Exceptional interpersonal and communication skills, (written, verbal, and visual).
- Strong initiative, organizational skills, and ability to meet deadlines in a fast-paced environment.
Compensation: $42 / hour
