We are seeking a dynamic and highly organized Virtual Assistant to join our team! Duties
- Manage calendars and schedule appointments using tools like Google Workspace and Microsoft Office, ensuring optimal time management for executives and team members
- Handle incoming calls via multi-line phone systems with professionalism and courteous phone etiquette, directing inquiries appropriately
- Provide exceptional customer support through email, chat, and phone interactions, addressing client needs promptly and effectively
- Perform data entry and maintain accurate records using QuickBooks, spreadsheets, and filing systems to support office operations
- Assist with office management tasks such as filing, proofreading documents, and organizing digital files for easy access
- Support bookkeeping activities including invoicing, expense tracking, and basic financial record keeping
- Coordinate virtual meetings, prepare agendas, take minutes, and follow up on action items to ensure productivity
Qualifications
- Proven experience in office management or administrative roles with strong clerical skills
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and data entry tools
- Prior experience with QuickBooks or bookkeeping is highly desirable
- Strong organizational skills with the ability to prioritize tasks effectively in a busy environment
- Exceptional communication skills in English; bilingual abilities are a plus for broader client interaction
- Demonstrated ability to handle multi-line phone systems and practice professional phone etiquette
- Previous experience as a personal or medical/dental receptionist is advantageous
- Capable of managing calendars efficiently and supporting project coordination with attention to detail
