ABOUT JOB

 

We are seeking a highly organised and proactive Virtual Assistant .This role is critical in supporting business development, outbound outreach, data management, and administrative systems.

The ideal candidate is detail-oriented, confident communicating with businesses, and comfortable working with structured systems such as CRMs, spreadsheets, and workflow tools.


Key Responsibilities

  • Identify and research target businesses (builders, project managers, developers, facility managers, consultants, etc.)
  • Build and maintain outreach lists and prospect databases
  • Send follow-up communications and track responses
  • Qualify inbound and outbound enquiries and route them appropriately
  • Maintain professional, on-brand written communication at all times

Enquiry & Lead Management

  • Monitor and manage incoming enquiries
  • Log all enquiries accurately into CRM systems
  • Update lead status, notes, and follow-ups
  • Ensure no leads or enquiries are missed or left unattended

Data Entry & CRM Management

  • Accurate data entry into CRM and internal systems
  • Create, clean, and maintain contact lists and databases
  • Update customer, site, and contact records
  • Maintain data consistency and accuracy across platforms

Administrative Support

  • General virtual assistance and admin support to management
  • File management and document organisation
  • Support reporting, spreadsheets, and internal tracking documents
  • Assist with system setup, templates, and process documentation
  • Ad-hoc administrative tasks as required

Key Skills & Experience

  • Proven experience as a Virtual Assistant, Admin Assistant, or similar role
  • High level of attention to detail and accuracy
  • Excellent written English and professional communication skills
  • Strong organisational and time-management skills
  • Ability to work independently and meet deadlines
  • Confidence working with CRMs, spreadsheets, and cloud-based tools

Preferred (But Not Essential)

  • Experience supporting construction, trades, or service-based businesses
  • Familiarity with CRM platforms (e.g. HubSpot, simPRO, or similar)
  • Experience with LinkedIn outreach or email sequencing
  • Understanding of sales pipelines and enquiry workflows
