Job Description
ABOUT JOB
We are seeking a highly organised and proactive Virtual Assistant .This role is critical in supporting business development, outbound outreach, data management, and administrative systems.
The ideal candidate is detail-oriented, confident communicating with businesses, and comfortable working with structured systems such as CRMs, spreadsheets, and workflow tools.
Key Responsibilities
- Identify and research target businesses (builders, project managers, developers, facility managers, consultants, etc.)
- Build and maintain outreach lists and prospect databases
- Send follow-up communications and track responses
- Qualify inbound and outbound enquiries and route them appropriately
- Maintain professional, on-brand written communication at all times
Enquiry & Lead Management
- Monitor and manage incoming enquiries
- Log all enquiries accurately into CRM systems
- Update lead status, notes, and follow-ups
- Ensure no leads or enquiries are missed or left unattended
Data Entry & CRM Management
- Accurate data entry into CRM and internal systems
- Create, clean, and maintain contact lists and databases
- Update customer, site, and contact records
- Maintain data consistency and accuracy across platforms
Administrative Support
- General virtual assistance and admin support to management
- File management and document organisation
- Support reporting, spreadsheets, and internal tracking documents
- Assist with system setup, templates, and process documentation
- Ad-hoc administrative tasks as required
Key Skills & Experience
- Proven experience as a Virtual Assistant, Admin Assistant, or similar role
- High level of attention to detail and accuracy
- Excellent written English and professional communication skills
- Strong organisational and time-management skills
- Ability to work independently and meet deadlines
- Confidence working with CRMs, spreadsheets, and cloud-based tools
Preferred (But Not Essential)
- Experience supporting construction, trades, or service-based businesses
- Familiarity with CRM platforms (e.g. HubSpot, simPRO, or similar)
- Experience with LinkedIn outreach or email sequencing
- Understanding of sales pipelines and enquiry workflows
