Responsibilities

  • Manage calendar scheduling, appointment setting, and coordinate meetings using tools like Google Workspace and Microsoft Office.
  • Handle multi-line phone systems with professionalism, practicing excellent phone etiquette and providing outstanding customer support.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records.
  • Assist with bookkeeping tasks such as invoicing and QuickBooks data management to support financial operations.
  • Support front desk duties including greeting visitors, managing office supplies, and maintaining a welcoming environment.
  • Oversee office management functions like organizing files, maintaining office equipment, and streamlining administrative workflows.
  • Provide personal assistant support by managing emails, preparing reports, and handling confidential information with discretion.

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Excellent typing speed and data entry accuracy; familiarity with clerical procedures.
  • Experience with office management systems, multi-line phone systems, and front desk operations.
  • Bilingual abilities are a plus for communicating with diverse clients and team members.
  • Knowledge of QuickBooks or bookkeeping software is desirable for financial tasks.
  • Exceptional customer service skills combined with professional phone etiquette and clear communication.
  • Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required.
