ABOUT JOB

 

We are seeking a highly organized and proactive Virtual Assistant / Operations Coordinator . This role involves managing administrative and operational tasks to ensure smooth daily operations across multiple booking platforms.

The ideal candidate has experience in short-term rentals, hospitality, or property management (preferred), strong communication skills, and comfort working with digital tools and remote teams. This is a paid position well-suited for individuals who thrive in a fast-paced, detail-driven environment.

Duties & Responsibilities

  • Manage calendar scheduling and coordinate reservations for short-term rentals
  • Handle multi-line phone systems while providing professional customer service
  • Maintain accurate data entry and filing of rental records, guest information, and financial documents (in office)
  • Utilize QuickBooks for bookkeeping, invoicing, and expense tracking (in office)
  • Coordinate check-in and check-out processes and support guest experience needs
  • Coordinate with cleaning crews, maintenance teams, and vendors to ensure property readiness
  • Input and track work orders, service requests, and operational follow-ups
  • Assist with Google Workspace applications (Docs, Sheets, Slides) for reporting and documentation
  • Perform clerical duties such as email management, typing reports, and internal communication support
  • Collaborate closely with the Revenue Specialist on pricing, availability, and operational updates
  • Manage time effectively, prioritize daily tasks, and meet deadlines in a remote environment

Skills & Qualifications

  • Experience in short-term rentals, hospitality, or property management preferred
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint) and Google Workspace
  • Strong organizational skills with the ability to multitask efficiently
  • Excellent written and verbal communication skills; strong phone etiquette required
  • Experience with office management systems and administrative procedures
  • Familiarity with QuickBooks or similar accounting software, and easy to learn our new accounting software
  • Prior front desk, receptionist, personal assistant, or administrative support experience is a plus
  • High attention to detail with strong data entry and proofreading skills
  • Excellent time management and follow-through

Pay: $25.34 – $30.52 per hour
