This role is responsible for managing the day-to-day administrative and operational activities that enable the CEO to focus on client delivery, business development, and strategic growth.
The ideal candidate is highly organized, proactive, resourceful, and comfortable operating in a fast-paced entrepreneurial environment. This individual will handle calendar and inbox management, coordinate client meetings and logistics, support marketing and invoicing, and ensure seamless operations across the business.
This is a remote, part-time (approx. 40 hours a month) 1099 contract role.
Key Responsibilities
Executive Support
- Manage the CEO’s calendar, including scheduling client meetings, internal planning sessions, and personal commitments as needed.
- Prepare agendas, meeting notes, and follow-up action items.
- Serve as liaison between the CEO, clients, and business partners.
Client and Project Coordination
- Schedule discovery calls, workshops, coaching sessions, and consulting engagements.
- Maintain accurate client records and contracts.
Business Operations
- Prepare and send invoices; follow up on outstanding payments.
- Maintain filing systems, templates, and business documents.
- Support expense tracking and document preparation for invoicing purposes.
- Assist with vendor coordination and subscriptions.
- Manage assessment process (assignment, follow up, etc.) for various L&D tools.
Marketing and Business Development Support
- Update website content, social media posts, and email newsletters as needed.
- Maintain CRM database and track leads, prospects, and follow-up activities.
- Assist with proposal creation and client onboarding.
Special Projects
- Support the Owner with strategic initiatives, process improvements, and ad hoc projects.
- Identify opportunities to streamline systems and increase efficiency.
Qualifications
Required Experience
- 5+ years of experience as an Executive Assistant, Administrative Assistant, or Operations Coordinator.
- Experience supporting a senior executive, entrepreneur, or small business owner.
- Strong proficiency with Microsoft Office and/or Google Workspace.
- Familiarity with scheduling tools, CRM systems, and accounting software such as QuickBooks.
Preferred Experience
- Experience in consulting, professional services, or organizational development.
- Familiarity with assessment tools such as Everything DiSC or The Five Behaviors

Pay: $25.00 – $37.00 per hour
