ABOUT JOB
We are seeking a highly organized, adaptable, and proactive Operations & Administrative Coordinator to support a growing portfolio of businesses. This is a dynamic role for someone who thrives in a fast-paced environment, enjoys variety in their day-to-day responsibilities, and is eager to learn new systems, processes, and industries.
This position offers the opportunity to work directly with the business owner and play a key role in improving efficiency, supporting client and candidate communication, and helping operations run smoothly. There will be a meaningful learning curve, so we are looking for someone who is resourceful, detail-oriented, and comfortable figuring things out as they go.
Key Responsibilities:Administrative & Operations Support
- Manage calendars, scheduling, and day-to-day coordination
- Organize and maintain documents, records, and internal systems
- Assist in preparing proposals, reports, and internal materials
- Handle email correspondence and follow-ups in a timely, professional manner
Client & Relationship Support
- Communicate with clients regarding scheduling, updates, and general inquiries
- Ensure a high level of professionalism and responsiveness
- Help maintain strong, organized records of interactions and follow-ups
Project & Process Support
- Assist with ongoing projects and operational initiatives
- Identify inefficiencies and recommend process improvements
- Help implement systems to improve organization and workflow
Research & Coordination
- Conduct research and gather information to support business needs
- Assist with data entry and database management
- Coordinate meetings, calls, and follow-ups with external parties
Qualifications:
- Strong organizational and time management skills
- Excellent written and verbal communication
- High attention to detail and accuracy
- Ability to multitask and prioritize effectively
- Comfortable learning new tools, systems, and workflows
- Self-starter with a proactive, solution-oriented mindset
Preferred (but not required):
- Experience in an administrative, coordinator, or operations role
- Familiarity with scheduling, CRM systems, or basic bookkeeping tools
- Experience supporting multiple projects or business functions
