ABOUT JOB

 

We are seeking a highly organized, adaptable, and proactive Operations & Administrative Coordinator to support a growing portfolio of businesses. This is a dynamic role for someone who thrives in a fast-paced environment, enjoys variety in their day-to-day responsibilities, and is eager to learn new systems, processes, and industries.

This position offers the opportunity to work directly with the business owner and play a key role in improving efficiency, supporting client and candidate communication, and helping operations run smoothly. There will be a meaningful learning curve, so we are looking for someone who is resourceful, detail-oriented, and comfortable figuring things out as they go.

Key Responsibilities:Administrative & Operations Support

  • Manage calendars, scheduling, and day-to-day coordination
  • Organize and maintain documents, records, and internal systems
  • Assist in preparing proposals, reports, and internal materials
  • Handle email correspondence and follow-ups in a timely, professional manner

Client & Relationship Support

  • Communicate with clients regarding scheduling, updates, and general inquiries
  • Ensure a high level of professionalism and responsiveness
  • Help maintain strong, organized records of interactions and follow-ups

Project & Process Support

  • Assist with ongoing projects and operational initiatives
  • Identify inefficiencies and recommend process improvements
  • Help implement systems to improve organization and workflow

Research & Coordination

  • Conduct research and gather information to support business needs
  • Assist with data entry and database management
  • Coordinate meetings, calls, and follow-ups with external parties

Qualifications:

  • Strong organizational and time management skills
  • Excellent written and verbal communication
  • High attention to detail and accuracy
  • Ability to multitask and prioritize effectively
  • Comfortable learning new tools, systems, and workflows
  • Self-starter with a proactive, solution-oriented mindset

Preferred (but not required):

  • Experience in an administrative, coordinator, or operations role
  • Familiarity with scheduling, CRM systems, or basic bookkeeping tools
  • Experience supporting multiple projects or business functions
