JOB SUMMARY

 

We are seeking a detail-oriented and organized Office Assistant to support our daily operations. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office management tools. This role offers an opportunity to contribute to a professional environment where efficiency and customer service are prioritized. The Office Assistant will be responsible for managing front desk duties, supporting office functions, and ensuring smooth workflow across departments.

Duties

  • Handle multi-line phone systems, screen calls, and direct inquiries appropriately
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other relevant software
  • Manage calendar appointments and schedule meetings efficiently
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software
  • Support office management tasks such as organizing supplies, maintaining office equipment, and overseeing clerical functions
  • Provide customer support via phone and email,ensuring excellent phone etiquette and customer service standards
  • Proofread documents for accuracy and clarity before distribution
  • Support personal assistant duties as needed, including calendar management and task coordination
  • Maintain confidentiality of sensitive information and adhere to organizational policies

Requirements

  • Proven experience in office management, clerical work, or administrative support roles
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Experience with QuickBooks or bookkeeping is a plus
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong communication skills, including phone etiquette and customer service experience
  • Previous experience as a receptionist or in medical/dental office environments is advantageous
  • Ability to handle multiple responsibilities simultaneously while maintaining attention to detail
  • Familiarity with office equipment such as multi-line phone systems, printers, and fax machines
  • Personal assistant or calendar management experience is preferred
  • Demonstrated ability to work independently with minimal supervision and manage time efficiently

Job Type: Full-time

Pay: $21.40 – $28.00 per hour
