ABOUT JOB
We are seeking a dedicated and professional Office Assistant / Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Schedule: Monday to Friday 8 am to 5:00 pm
Duties
- You can add the scheduling responsibility like this:
- Answer phone calls promptly, providing accurate information and directing calls as necessary.
- Ensure the front desk area is tidy and presentable at all times.
- Handle inquiries regarding services offered and provide information about the organization.
- Provide supplies to caregivers.
- Organize and maintain office supplies and inventory.
- Direct calls and take messages.
- Conduct courtesy calls to patients to ensure satisfaction, confirm services, and address any concerns.
- Coordinate and communicate schedule changes for caregivers and clients, ensuring all parties are promptly notified of updates.
- Assist with caregiver scheduling, coverage requests, call-outs, and shift adjustments to maintain continuity of care.
- Document scheduling changes accurately and update scheduling systems as needed.
Requirements
- Proven experience as a receptionist or in a similar administrative role is preferred.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent phone etiquette and communication skills, both verbal and written.
- Proficient in clerical tasks including typing, data entry, and document management.
- Attention to detail with strong proofreading abilities to ensure accuracy in all communications.
- Ability to work independently as well as part of a team in a fast-paced environment.
- High school diploma or equivalent; additional certification in office administration is a plus.
