Job Description

JOB DETAILS

Tasks Include:

  • Answering and directing incoming phone calls to relevant staff
  • Organising incoming emails to ensure clients and stakeholders are replied to in a timely manner.
  • Accounts and invoicing
  • Scheduling meetings and appointments
  • Ordering of supplies for the office and external hardware for clients
  • Assisting with management of project tasks, and assisting the Managing Director in the organisation of client workflow and tasks.
  • Assisting the Marketing Team with social media content and other marketing related tasks
  • General filing and documentation
  • General housekeeping and office duties
  • Daily reception duties

What we are looking for:

  • Prior experience in a personal assistant or team assistant role.
  • Advanced knowledge of Microsoft Word, Excel, Outlook and an ability and willingness to learn new software packages as required.
  • Ability to prioritise work and get tasks done in a timely manner.
  • Excellent time management skills
  • Ability to show initiative within your role.
  • Ability to communicate and build relationships internally and externally within the business.
  • Ability to prioritise, organise and plan with the director and other management staff
  • Professional level verbal and written communications skills.
  • Proven high level of professionalism, maturity and confidentiality in daily work ethic.
  • The ability to show initiative and to go above and beyond to keep things running smoothly.
