JOB DETAILS
We’re hiring an organized and detail oriented Administrative Assistant to work in the office with our team. In this role, you’ll play an important part in supporting daily operations by assisting with fleet administration, safety compliance tracking, contract documentation, and light accounting tasks. You will help ensure critical records are accurate and up to date, support compliance reporting requirements, and contribute to efficient coordination across operational and administrative functions. Responsibilities
As an Administrative Assistant,your day-to-day responsibilities will vary, and they will typically include the following:
- Provide administrative support for company fleet management, including maintaining vehicle records, registrations, and insurance documentation
- Assist with tracking driver qualifications, motor vehicle records, and fleet-related compliance requirements
- Track contract-related safety requirements, training records, and compliance documentation
- Assist with contract administration tasks, including maintaining files, monitoring key dates, and organizing supporting documentation
- Provide light accounting support such as processing invoices, tracking expenses, and assisting with basic financial records
- Assist with general administrative tasks including data entry, document preparation, supply ordering, and scheduling support as needed
Qualifications

you’ll also need a few more qualification requirements:
- Associate degree or equivalent work experience in administration, business, accounting, or a related field
- 2 to 5 years of administrative or office support experience, preferably in a professional services, engineering, environmental, or construction-related environment
- Experience supporting safety programs and fleet administration
- Basic accounting or bookkeeping experience, including invoice processing or expense tracking
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously
- Proficiency with Microsoft Office applications, particularly Excel, Word, and Outlook
- Ability to communicate effectively and coordinate with multiple internal departments and external partners
