JOB  DETAILS

Key Responsibilities

  • Serve as the first point of contact at the front desk by welcoming visitors and directing them appropriately while maintaining professional phone etiquette.
  • Manage a multi-line phone system, handling incoming calls promptly and efficiently.
  • Perform accurate data entry and maintain organized records using Microsoft Office, Google Workspace, and other office tools.
  • Coordinate schedules and manage calendars, including booking appointments and sending reminders.
  • Organize, proofread, and maintain documents to ensure accuracy and accessibility.
  • Assist with basic bookkeeping tasks such as invoicing and expense tracking using QuickBooks or similar software.
  • Respond to customer inquiries professionally via phone, email, or in person, ensuring a positive experience.
  • Support office operations by ordering supplies, maintaining equipment, and keeping the workspace organized.
  • Complete general clerical tasks such as copying, scanning, filing, and record keeping.
  • Provide additional administrative or personal assistant support as needed, including travel arrangements or special projects.

Qualifications

  • Prior experience in an administrative or office setting with strong clerical skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar).
  • Familiarity with QuickBooks or similar accounting software is preferred.
  • Strong organizational and multitasking abilities in a fast-paced environment.
  • Excellent written and verbal communication skills; bilingual skills are a plus.
  • Demonstrated customer service skills and professional interpersonal communication.
  • Experience in a receptionist or medical/dental office setting is a plus.
  • High level of accuracy in data entry with strong attention to detail; typing proficiency is important.
  • Comfortable using multi-line phone systems and standard office equipment.
  • Experience supporting executives or managing calendars is beneficial.
