ABOUT JOB
We are looking for a motivated and detail-oriented Administrative Assistant to support our day-to-day office operations. In this role, you will help keep the office running smoothly by managing administrative tasks, improving workflow efficiency, and delivering excellent customer service. The ideal candidate is proactive, well-organized, and takes pride in maintaining a professional and efficient work environment.
Key Responsibilities
Serve as the first point of contact at the front desk by welcoming visitors and directing them appropriately while maintaining professional phone etiquette.
Manage a multi-line phone system, handling incoming calls promptly and efficiently.
Perform accurate data entry and maintain organized records using Microsoft Office, Google Workspace, and other office tools.
Coordinate schedules and manage calendars, including booking appointments and sending reminders.
Organize, proofread, and maintain documents to ensure accuracy and accessibility.
Assist with basic bookkeeping tasks such as invoicing and expense tracking using QuickBooks or similar software.
Respond to customer inquiries professionally via phone, email, or in person, ensuring a positive experience.
Support office operations by ordering supplies, maintaining equipment, and keeping the workspace organized.
Complete general clerical tasks such as copying, scanning, filing, and record keeping.
Provide additional administrative or personal assistant support as needed, including travel arrangements or special projects.
Qualifications
Prior experience in an administrative or office setting with strong clerical skills.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar).
Familiarity with QuickBooks or similar accounting software is preferred.
Strong organizational and multitasking abilities in a fast-paced environment.
Excellent written and verbal communication skills; bilingual skills are a plus.
Demonstrated customer service skills and professional interpersonal communication.
Experience in a receptionist or medical/dental office setting is a plus.
High level of accuracy in data entry with strong attention to detail; typing proficiency is important.
Comfortable using multi-line phone systems and standard office equipment.
Experience supporting executives or managing calendars is beneficial.

Pay: $45,594.43 – $54,000.41 per year
