Job Description
JOB SUMMARY
We are looking for a motivated, organized, and detail-oriented Administrative Assistant . This position is responsible for clerical and administrative tasks, coordinating with multiple departments, tracking vehicle readiness, and helping ensure a smooth delivery process for our customers.
This is an excellent opportunity for someone who is comfortable using computers, enjoys working in a fast-paced environment, and takes pride in staying organized and following through on details. Automotive experience is not required—we are willing to train the right candidate.
Responsibilities
- Perform general administrative and clerical duties.
- Prepare, organize, and maintain paperwork and records.
- Track and coordinate sold aftermarket products and services, including paint protection film (PPF), ceramic coating, wheel refinishing, window tint, and other dealer-installed products.
- Work closely with the Service Department to open, monitor, and close internal repair orders.
- Perform data entry, filing, and document review to maintain accurate and organized records.
- Track outstanding items and coordinate with internal departments and vendors to ensure all work is completed accurately and on schedule.
- Enter and maintain accurate information within dealership software systems.
- Communicate effectively with Sales, Service, and Management teams regarding vehicle readiness and delivery status.
- Support additional administrative and operational projects as assigned.
Qualifications
- Strong attention to detail.
- Comfortable working in a computer-based environment throughout the day.
- Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
- Strong computer skills and the ability to quickly learn new software systems.
- Strong organizational and multitasking abilities.
- Ability to prioritize multiple tasks and follow through with minimal supervision.
- Positive attitude and willingness to learn.
- Reliable, professional, and dependable.
- Strong communication and interpersonal skills.
Preferred But Not Required
- Administrative or office experience.
- Automotive dealership experience.
- Automotive service experience.
- Experience working in a fast-paced customer service environment.

We are looking for someone who is organized, computer-savvy, and able to keep track of multiple moving pieces at once. The ideal candidate is dependable, detail-oriented, and comfortable communicating with different departments to help keep operations running smoothly.
Success in this role comes from strong follow-up, attention to detail
Pay: $40,000.00 – $60,000.00 per year
