ABOUT JOB

 

We’re seeking a highly organized and proactive Operations Administrator to provide comprehensive administrative support to senior leadership. This role requires exceptional communication, multitasking, and interpersonal skills. The ideal candidate thrives in a fast-paced environment, demonstrates strong attention to detail, and maintains discretion when handling confidential information.

Key Responsibilities

  • Calendar Management & Scheduling: Manage complex calendars for multiple managers, including scheduling meetings, appointments, travel, and accommodations.
  • Meeting & Travel Coordination: Arrange on-site and off-site meetings, including logistics, catering, and venue arrangements.
  • Expense Processing: Process and reconcile travel and expense reports accurately and in a timely manner.
  • Administrative Support: Prepare documents, handle correspondence, maintain files, and serve as a key point of contact for executives and staff.
  • Office & Facility Management:
  • Oversee maintenance of facilities, office equipment, and systems (directly or through vendors).
  • Coordinate internal office moves and meeting setups.
  • Relationship Management: Build and maintain strong working relationships with colleagues, administrative teams, and external partners.
  • Compliance & Standards:
  • Follow company policies, procedures, and safety standards.
  • Support cost control, waste reduction, quality, and timely delivery goals.
  • Customer Service: Deliver exceptional service to internal and external customers through clear, professional communication.
  • Ad Hoc Projects: Assist with special projects and initiatives as assigned.

Requirements

  • Technical Skills: Intermediate proficiency in MS Office Suite and Tower.
  • Organization: Strong multitasking, prioritization, and time management abilities.
  • Professionalism: Ability to work independently and handle confidential information discreetly.

Job Type: Full-time

Pay: From $21.35 per hour
