ABOUT JOB
We are seeking a highly skilled and proactive Executive Administrative Assistant to provide comprehensive, high-level administrative support to three Vice Presidents within a fast-paced global enterprise sales organization. This fully remote role is critical to the smooth operation of a dynamic revenue team, requiring someone who is exceptionally organized, detail-oriented, and capable of making sound decisions with minimal guidance. The ideal candidate thrives in complex, rapidly evolving environments, anticipates executive needs before they arise, and approaches challenges with resourcefulness and a solutions-oriented mindset.
Job Responsibilities:
- Manage complex calendars
- Arrange detailed domestic and international travel plans, including itineraries, agendas, and all associated logistics
- Process and manage expense reports accurately and in a timely manner on behalf of supported executives
- Anticipate executive needs proactively and implement solutions to time-sensitive issues with excellent judgment
- Operationalize rhythm-of-business meeting cadences including Town Halls, Quarterly Business Reviews, and Manager Meetings
- Schedule and coordinate cross-functional meetings to drive collaboration both internally and externally
- Manage meeting agendas, notes, minutes, presentations, and follow-up action items
- Support team morale initiatives and coordinate related activities
- Handle confidential information with the utmost professionalism and discretion
- Manage logistical and operational needs to enable seamless activity across business units
Requirements:
- 5+ years of administrative, business support, or customer service experience supporting executive or upper-level management
- 5+ years of international travel coordination experience
- 5+ years of event coordination experience
- Prior experience supporting executives within a global enterprise sales or revenue organization strongly preferred
- Experience with Microsoft
- Demonstrated experience working within a global business environment across multiple time zones
- Demonstrated track record of longevity and consistency in previous roles
- Proficiency in M365 tools including Outlook, Word, PowerPoint, Excel, Microsoft Teams, and Slack
- Strong international and domestic travel coordination and logistics management
- Event and meeting coordination, including large-scale virtual and in-person gatherings
- Exceptional written and verbal communication skills
- Ability to manage competing priorities and make sound decisions in a fast-paced, rapidly changing environment
- Strong organizational skills with acute attention to detail
- Confidence in leading meetings and managing projects involving senior-level personnel
- Demonstrated ability to handle sensitive and confidential information with discretion
- Resourceful problem-solving approach with the ability to operate independently
Additional Details:
- Location: Remote
- Pay Range*: $39.50 – $45 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
