JOB DESCRIPTION
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to the CEO to serve as a trusted partner in managing the day-to-day operations of the executive office. This role requires exceptional judgment, discretion, and the ability to anticipate needs in a fast-paced, client-facing advertising agency environment.
The ideal candidate is resourceful, responsive, and comfortable managing competing priorities while maintaining professionalism and confidentiality. This individual will play a critical role in keeping the CEO focused on strategic priorities by ensuring communication, scheduling, travel, and operational logistics run smoothly.
Responsibilities:

- Manage and prioritize the CEO’s inbox, ensuring timely responses and appropriate escalation of urgent matters
- Draft and respond to emails on behalf of the CEO with professionalism and sound judgment
- Maintain strict confidentiality when handling sensitive business and personnel matters
- Coordinate and manage the CEO’s calendar, including scheduling internal and external meetings across multiple time zones
- Prepare meeting agendas, materials, and background information
- Join meetings to capture detailed notes, track action items, and ensure follow-through
- Manage office supply inventory and coordinate purchasing as needed
- Coordinate and process payments, invoices, and expense submissions
- Assist with occasional personal errands and administrative tasks for the CEO
Provide flexible support to ensure the CEO’s schedule and commitments are executed efficiently
Skills and Qualifications
- 5+ years of experience supporting a senior executive, founder, or CEO
- Exceptional organizational and time management skills
- Strong written communication skills with the ability to draft professional correspondence
- Proven ability to manage competing priorities in a fast-paced environment
- High level of discretion and professionalism when handling confidential information
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides)
- Ability to work independently and anticipate needs
- Startup or advertising agency experience preferred
