Executive Assistant will be felt every day. This is a busy, fast‑moving role at the heart of a passionate team, perfect for someone who thrives on variety, connection and purpose. You’ll be the trusted right hand to executives, the steady anchor for governance and committee support and the organisational heartbeat that keeps operations running smoothly.

Your new role

  • Deliver comprehensive executive support, including calendar management, travel coordination and handling high-level correspondence.
  • Provide high-level administrative support to boards, committees, governance policy management and governance functions, including preparing documents, setting up and coordinating meetings, managing agendas and recording accurate minutes.
  • Create and distribute regular communication, marketing and letters for the team, students and stakeholders.
  • Plan and execute internal events, team functions and catering logistics.
  • Ensure smooth day-to-day office operations, including facilities oversight, property maintenance and security coordination.
  • Administrative support to the team and HR regarding document handling, creating documents and ad hoc tasks upon request.
  • Provide administrative leadership by coordinating workloads, mentoring support staff and enhancing workflow efficiency.
  • Provide proactive support across project tasks to ensure timely, efficient, high-quality delivery of project outcomes.
  • Collaborate with internal departments and external stakeholders to support strategic initiatives and strengthen client and employee engagement.
  • Provide efficient technical support by maintaining and troubleshooting system issues, while also updating key organisational platforms including CRM systems, asset registers and confidential student or staff databases.

 

What you’ll need to succeed

  • A solid foundation as a proactive Executive Assistant, you’ve thrived in dynamic, fast-paced settings where project coordination and operational support are key.
  • Demonstrated experience providing high-level administrative support to boards, committees and governance functions, including document preparation, meeting setup and coordination, agenda management and accurate minute-taking.
  • You have excellent written and communication skills.
  • You’re highly skilled in Microsoft Office 365, especially Excel and navigate new systems easily, allowing you to troubleshoot, streamline workflows and embrace new technologies with ease.
  • You value a good culture and have a desire to work in a very supportive team.
  • You bring a good understanding of administrative operations and office management, paired with exceptional organisational abilities and a collaborative spirit.
  • A proactive approach is essential in this role. You’re someone who steps up, tackles challenges with enthusiasm and supports colleagues with a can-do attitude.
  • Experience within the not-for-profit sector or education is a bonus, along with the initiative to anticipate needs and drive outcomes.
