Job Description
ABOUT JOB
Our client is seeking for an executive assistant. This candidate will help the executive for whom they work with tasks such as scheduling; reviewing, prioritizing, and responding to emails; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings and any other administrative tasks that help the executive perform their job.
Objectives of this role
-
Maintain and refine internal processes that support high-ranking executives companywide, and coordinate internal and external resources to expedite workflows
-
Manage communication with employees by liaising with internal and external executives on various projects and tasks
-
Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
Responsibilities:
-
Manage professional and personal scheduling for SE, including agendas, mail, email, phone calls, client management, and other company logistics
-
Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
-
Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database
-
Maintain professionalism and strict confidentiality with all materials
-
Organize team communications and plan events, both internal and off-site
-
Answer phone calls
-
Organize and schedule meetings
-
Assist in the preparation of regularly scheduled reports
-
Plan meetings and take detailed notes
-
Write and distribute emails, correspondence memos, letters, and forms
-
Develop and maintain a filing system
Requirements:
-
Proven experience as an administrative assistant
-
Knowledge of office management systems and procedures
-
Working knowledge of office equipment, like printers, scanners and fax machines
-
Proficiency in MS Office (MS Excel, in particular)
-
Excellent time management skills and the ability to prioritize work
-
Attention to detail and problem-solving skills
-
Excellent written and verbal communication skills
-
Strong organizational skills with the ability to multi-task
-
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
