ABOUT JOB
The Executive Assistant serves as a trusted partner to the CEO, providing high-level administrative and organizational support while also serving as the operational backbone of our corporate office. This is a hands-on, highly visible role suited for a self-starter who thrives in a fast-paced, people-first environment and can wear many hats with professionalism and a positive attitude.
Key Responsibilities
Executive Support
- Manage complex calendars, scheduling, and appointment coordination for the CEO
- Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the CEO
- Prepare agendas, briefing materials, presentations, and reports for internal and external meetings
- Coordinate occasional travel logistics for the CEO and executive team as needed
- Manage expense reporting, reconciliation, and budget tracking for the CEO
- Anticipate the needs of the CEO and proactively address them before they arise
- Other duties as assigned by the CEO
Leadership Team Support
- Coordinate and prepare materials for leadership team meetings, including agendas, pre-reads, and action item tracking
- Support leadership team members with scheduling and ad hoc project coordination as directed by the CEO
Communication & Relationship Management
- Serve as a professional extension of the CEO, communicating with clients, partners, and staff on their behalf
- Foster a positive, professional workplace environment consistent with our culture and core values
- Build and maintain trusted relationships internally and externally
- Exercise sound judgment about what requires leadership attention vs. what can be handled independently
Qualifications
Required
- 3–5+ years of experience as an executive assistant or in a senior administrative role supporting C-level or senior executive leadership
- Strong organizational and time management skills with the ability to manage competing priorities with minimal direction
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
- Excellent written and verbal communication skills
- Demonstrated discretion in handling sensitive and confidential information
- Comfortable working directly with ownership and senior leadership
- Ability to anticipate the needs of executives and proactively address them before they arise
- High degree of emotional intelligence and professional maturity
- Sound judgment about when to act independently and when to escalate
Preferred
- Experience in real estate, property management, or professional services
- Experience in a small to mid-size business environment
- Experience with project coordination or supporting multiple stakeholders simultaneously
- Associate’s or Bachelor’s degree in Business Administration or a related field
