Job Description
ABOUT JOB
Our client is seeking a highly organized, dependable, and proactive Executive Assistant to support our executive leadership team. This position is ideal for someone who communicates professionally, takes initiative, manages competing priorities, and enjoys supporting a growing commercial construction company.
Key Responsibilities
- Manage executive calendars, appointments, meetings, and travel arrangements.
- Draft, review, and organize correspondence, reports, presentations, and other business documents.
- Coordinate internal and external meetings, including agendas, materials, scheduling, and follow-up items.
- Maintain confidential company, employee, client, and financial information.
- Track executive deadlines, commitments, and action items.
- Assist with company events, employee activities, conferences, and client meetings.
- Communicate professionally with clients, subcontractors, consultants, employees, and community partners.
- Assist with special projects and other administrative responsibilities as assigned.
Marketing and Outreach Support
- Assist with social media content, company announcements, and marketing materials.
- Coordinate lunches, outings, or sponsored events
- Help organize project photographs, employee information, and company qualifications.
- Attend trade shows, non-profit events, and participate in committees
- Coordinate with vendors on printing, promotional items, signage, and event materials.
Property Management Support
- Assist with tenant, vendor, and property-related communications.
- Coordinate maintenance requests, inspections, repairs, and vendor scheduling.
- Maintain organized property records, agreements, invoices, and supporting documentation.
- Track important dates, renewals, expenses, and outstanding property-related items.
- Help ensure property concerns are communicated and addressed promptly.
Preferred Qualifications
- Previous experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar position.
- Marketing, social media, event-planning, or business-development experience is preferred.
- Property management or real estate experience is preferred.
- Construction industry experience is beneficial but not required.
- Strong written and verbal communication skills.
- Excellent organization, time management, and follow-through.
- Ability to work independently and anticipate the needs of executive leadership.
- Strong attention to detail and ability to manage multiple priorities.
- Professional judgment and discretion when handling confidential information.
- Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Canva.

Pay: $28.00 – $30.00 per hour
