ABOUT JOB
We are seeking a dynamic and highly organized Executive Assistant/Office Manager to join our team. This vital role combines high-level administrative support with comprehensive office management, ensuring smooth daily operations and seamless executive assistance. Responsibilities
- Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and Google Workspace.
- Handle complex travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Manage office operations by overseeing supply inventory, coordinating maintenance services, and ensuring a welcoming front desk environment with professional phone etiquette.
- Organize and coordinate company events, meetings, and conferences from planning stages through execution, including venue selection, catering arrangements, and logistics.
- Maintain accurate records through data entry, filing systems, bookkeeping using QuickBooks, and document proofreading to ensure clarity and professionalism.
- Assist with bookkeeping tasks such as invoicing, expense tracking, and reconciling accounts to support financial accuracy.
- Support project coordination efforts by tracking deadlines, preparing reports, and facilitating communication between teams.
- Perform clerical duties including transcription, proofreading documents, managing multi-line phone systems, and handling confidential information with discretion.
Skills
- Proven experience in executive administrative support combined with office management responsibilities.
- Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment.
- Excellent communication skills with professional phone etiquette and customer service orientation.
- Proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace (Gmail, Docs), and familiarity with Microsoft Outlook Calendar.
- Experience using QuickBooks for bookkeeping and financial recordkeeping; familiarity with DocuSign for electronic signatures is a plus.
- Exceptional attention to detail demonstrated through proofreading and transcription abilities.
- Ability to manage multiple projects simultaneously while maintaining accuracy and professionalism.
- Knowledge of office procedures such as filing systems, data entry, front desk operations, and multi-line phone systems.
