JOB DETAILS
We are seeking a highly organized and proactive Executive Assistant to support a CEO.
This role is ideal for someone who thrives in a fast-paced environment, enjoys managing complex calendars, and can operate with a high level of professionalism and discretion.
Key Responsibilities
Manage and coordinate multiple calendars and inboxes using Microsoft Outlook across three organizations.
Schedule meetings efficiently and respond to meeting requests by scheduling or offering availability within the same day or next business day.
Coordinate domestic and international travel arrangements.
Manage scheduling across multiple time zones
Ensure calendar alignment and avoid conflicts across all entities.
Communicate professionally with internal and external stakeholders.
Work Style and Expectations
This role does not require constant inbox monitoring. The expectation is to check and manage scheduling in the morning and again at the end of the day. Some scheduling workflows may span a 24-hour period due to time zone differences. The role is fully remote with flexible working hours.
Qualifications
Proven experience as an Executive Assistant or similar role.
Strong proficiency in Microsoft Outlook, including email and calendar management.
Exceptional organizational and time management skills.
Ability to manage multiple priorities across organizations.
Experience coordinating across time zones, with international scheduling experience preferred.
Strong written communication skills and professional demeanor.
High level of discretion and attention to detail.
