ABOUT JOB

 

We are seeking a highly organized and proactive Executive Personal Assistant to provide comprehensive support to our Company President. The successful candidate will play a pivotal role in ensuring the President’s day-to-day activities run smoothly, allowing them to focus on strategic initiatives and business development.

Responsibilities:

  • Calendar Management:
    • Efficiently manage the President’s schedule, coordinating internal and external meetings, conferences, and appointments.
    • Prioritize and optimize the President’s time, ensuring timely attendance to critical events and deadlines.
  • Communication:
    • Act as a primary point of contact between the President and internal/external stakeholders.
    • Handle incoming emails, calls, and correspondence with professionalism and discretion.
  • Travel Arrangements:
    • Arrange domestic and international travel, including flights, accommodations, and transportation, ensuring seamless logistics.
  • Meeting Preparation:
    • Prepare agendas, presentations, and necessary documentation for meetings attended or hosted by the President.
    • Take meeting minutes and follow up on action items to ensure timely completion.
  • Research and Analysis:
    • Conduct research on industry trends, competitors, and market dynamics to assist the President in decision-making.
  • Human Resources Support:
    • Assist in HR-related tasks, such as employee onboarding, documentation, and maintaining confidentiality.
  • Sales Support:
    • Collaborate with the sales team to coordinate client meetings, proposals, and follow-ups.
    • Maintain an organized system for tracking sales activities and client interactions.
  • Administrative Tasks:
    • Handle general administrative tasks, including filing, expense tracking, and office supply management.
    • Complete special projects and assignments as directed by the President.

Qualifications:

  • Proven experience as an Executive Assistant or similar role.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to anticipate needs and proactively address challenges.
  • Knowledge or experience in human resources and sales is a plus.

Education:

Bachelor’s degree in Business Administration, Management, Human Resources or a related field.
