JOB SUMMARY

We’re seeking a proactive Front Office Administrative Assistant at the entry level to join our dynamic team. Your enthusiasm and attention to detail will help create a positive environment for clients, visitors, and team members alike. What You’ll Do

  • Provide excellent customer service and assist with calls efficiently and courteously
  • Receive, sort, and distribute incoming and outgoing correspondence, including emails, mail, and packages
  • Maintain organized filing systems both physically and digitally, including scanning and digitizing documents
  • Support the distribution and tracking of keys, permits, and access fobs
  • Perform accurate data entry — updating records and maintaining databases
  • Assist with calendar management and scheduling
  • Perform general clerical duties such as photocopying, scanning, and creating notices
  • Assist community managers and support various departments as needed, demonstrating flexibility and teamwork

This is primarily an administrative support role with minimal direct, in-person client interaction; most contact is by phone and correspondence.

What We’re Looking For

  • Proficiency with Microsoft Word and Excel (required); Outlook (required)
  • Familiarity with Microsoft Teams, PowerPoint, and Google Workspace (Gmail, Calendar) a plus
  • A positive attitude and a genuine team-player mindset (required)
  • Self-disciplined, with proven ability to manage time and prioritize tasks independently (required)
  • Resourceful — knows how to use the tools and information available to get answers (required)
  • Strong problem-solving and critical-thinking skills (required)
  • Strong organizational skills and the ability to multitask effectively
  • Excellent phone etiquette and communication skills; bilingual abilities a plus but not required
  • Attention to detail for proofreading documents and maintaining accurate records
  • Basic bookkeeping knowledge or QuickBooks experience is advantageous
  • Previous office or clerical experience preferred but not required — enthusiasm to learn is key
