JOB  DETAILS

Key Responsibilities

  • Answer and manage incoming telephone calls professionally and efficiently.
  • Respond to patient enquiries via phone and email in a timely, empathetic and confidential manner.
  • Triage enquiries appropriately and escalate clinical matters to the relevant healthcare professionals.
  • Schedule, reschedule and confirm telehealth appointments using practice management software.
  • Coordinate appointment reminders and follow-up communications with patients.
  • Maintain accurate electronic patient records, including updating demographic information and clinical documentation.
  • Upload, scan and file medical correspondence, pathology results, specialist letters and other clinical documents.
  • Process patient payments, invoices and receipts accurately.
  • Assist patients with billing enquiries and provide clear explanations of fees where appropriate.
  • Liaise with pharmacies, pathology providers, imaging services, hospitals and other healthcare professionals to coordinate patient care.
  • Manage incoming referrals and ensure documentation is complete prior to consultations.
  • Monitor and action shared inboxes and administrative task lists.
  • Support doctors and the wider clinical team with general administrative duties.
  • Maintain strict confidentiality and comply with all Australian privacy legislation and practice policies.
  • Contribute to continuous improvement initiatives and assist with administrative projects as required.

Essential Requirements

  • Previous experience as a Medical Receptionist or Medical Administrator, preferably within general practice, specialist practice or telehealth.
  • Experience using medical practice software such as Best Practice, MedicalDirector, Xestro, MediRecords or similar
  • Strong computer literacy and confidence using Google Suite and cloud-based communication platforms.
  • Excellent verbal and written communication skills.
  • Outstanding customer service skills with a compassionate and patient-focused approach.
  • Ability to multitask and manage competing priorities in a busy remote environment.
  • High level of organisation and attention to detail.
  • Ability to work independently while collaborating effectively within a remote team.
  • A private, secure and reliable work-from-home setup, including high-speed internet, suitable for handling confidential patient information.
  • Knowledge of Australian Privacy Principles and commitment to maintaining patient confidentiality.

Desirable Skills

  • Experience working within a telehealth environment.
  • Knowledge of electronic prescribing workflows.
  • Experience coordinating referrals and managing specialist correspondence.
  • Familiarity with private billing processes.
  • Experience supporting multiple clinicians simultaneously.
