JOB DETAILS
We are seeking a reliable, organized, and detail-oriented Administrative Office Assistant to support daily office operations. The ideal candidate must be highly proficient in Microsoft Excel and QuickBooks, possess strong communication skills, and be comfortable managing multiple administrative responsibilities in a fast-paced office environment.
This role requires someone who is dependable, professional, efficient, and capable of handling confidential information with discretion.
Key Responsibilities
- Manage day-to-day administrative office tasks
- Maintain accurate records, files, and office documentation
- Use Microsoft Excel for spreadsheets, reporting, tracking, and data entry
- Process invoices, payments, and financial records using QuickBooks
- Answer phones, respond to emails, and handle client communication professionally
- Schedule appointments, meetings, and maintain calendars
- Prepare reports, forms, and correspondence
- Assist with accounts payable and accounts receivable
- Organize and maintain office supplies and inventory
- Perform data entry with high accuracy and attention to detail
- Support management with administrative and operational tasks
- Coordinate with vendors, clients, and team members as needed
- Maintain confidentiality of sensitive business information
Required Qualifications
- Proven administrative office experience preferred
- Strong proficiency in Microsoft Excel (formulas, spreadsheets, data organization)
- Experience with QuickBooks required
- Knowledge of Microsoft Office Suite (Word, Outlook, PowerPoint)
- Strong typing and computer skills
- Excellent organizational and multitasking abilities
- Strong verbal and written communication skills
- Ability to work independently and prioritize tasks
- Professional attitude and appearance
- Reliable transportation and punctuality
- High school diploma or equivalent required
Preferred Qualifications
- Experience with bookkeeping or basic accounting
- Experience in customer service or office coordination
- Familiarity with Google Workspace
- Knowledge of payroll processing
- Experience handling confidential records and documents

Pay: $50,000.00 – $60,000.00 per year
