The Office Administrator will support the firm in administrative operations, HR coordination, client communications, scheduling, marketing support, and internal organization.
The ideal candidate is highly organized, detail-oriented, proactive, professional, and comfortable interacting with clients and team members.
Key ResponsibilitiesAdministrative & Office Operations
- Manage day-to-day administrative tasks and office coordination
- Assist with scheduling meetings and calendar management
- Organize and maintain internal files and records
- Coordinate firm documents, engagement letters, and administrative workflows
- Help monitor deadlines and internal task follow-ups
- Support onboarding and operational processes
Client Communication & Coordination
- Respond to client inquiries professionally and promptly
- Coordinate client appointments and follow-up communications
- Assist with client onboarding and document collection
- Help maintain excellent client experience and responsiveness
- Coordinate communications between clients and internal team members
HR & Team Support
- Assist with recruiting coordination and interview scheduling
- Support onboarding of new employees
- Help maintain HR files and employee records
- Internal administrative policies
- Assist with internal team communications and organization
Marketing & Business Support
- Assist with LinkedIn posts, newsletters, and client announcements
- Maintain CRM/contact databases
- Support branding and client engagement initiatives
- Assist with website or social media coordination as needed
Qualifications
- Strong organizational and multitasking skills
- Professional written and verbal communication
- High attention to detail and follow-through
- Ability to work independently and proactively
- Comfortable interacting with clients and professionals
- Proficiency with Microsoft Office, Google Workspace, and general office software
- Prior experience in administration, office management, HR support, client service, or professional services preferred
