Duties
Manage and coordinate calendar appointments, meetings, and personal schedules with precision and efficiency
Handle front desk responsibilities, greeting visitors, managing multi-line phone systems, and directing calls with professional phone etiquette
Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office management tools
Provide customer service support by addressing inquiries promptly and courteously via phone or email
Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and manage invoices
Support clerical tasks such as proofreading documents, preparing reports, and managing correspondence
Oversee office supplies inventory, order necessary materials, and ensure the office environment remains tidy and functional
Coordinate personal errands or tasks as needed to support executive or team members’ schedules
Maintain confidentiality of sensitive information while ensuring all administrative processes run smoothly
Experience
Previous office management or administrative experience in a fast-paced environment is highly preferred
Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry software
Excellent organizational skills with the ability to multitask effectively and prioritize responsibilities
Experience in customer service roles or as a receptionist—particularly dental or medical reception—is advantageous
Familiarity with multi-line phone systems, calendar management tools, and basic bookkeeping software such as QuickBooks is desirable
Demonstrated ability to handle clerical tasks like proofreading, filing, and maintaining accurate records with attention to detail
Strong time management skills combined with professional phone etiquette and excellent interpersonal communication
