ABOUT JOB

 

We are seeking a Receptionist to manage the front office duties with a professional and welcoming demeanor. This position requires excellent communication, organizational skills, and a strong customer service orientation. The ideal candidate will assist with daily administrative tasks, including managing phone calls, handling office supplies, and supporting various departments as needed.

Key Responsibilities:

  • Answer all incoming calls following the firm’s scripts and procedures.
  • Direct calls to the appropriate staff members, including Intake Specialists.
  • Check and distribute voice messages to the relevant personnel.
  • Greet clients and office guests professionally and courteously.
  • Manage closed files and handle storage duties for archived materials.
  • Monitor office supplies and place orders as necessary to maintain stock levels.
  • Provide assistance to the intake department with new intakes and data entry.
  • Assist attorneys, office managers, case managers, and the COO with administrative tasks as needed.
  • Attend department meetings and report on workload and progress.
  • Communicate with the office manager regarding additional tasks or workload adjustments.

  • Effective problem-solving abilities and strong organizational skills.
  • Excellent verbal communication skills, with the ability to engage positively with clients and staff.
  • Neat and organized, with the ability to maintain a clean and professional office environment.
  • Proficiency in using Captorra and Neos software for data entry and task management.
  • Ability to follow instructions while also thinking independently to resolve issues.
  • Strong ability to work collaboratively in a team-oriented environment.
  • Open to coaching and constructive feedback for personal and professional growth.
  • Strong focus on meeting individual, department, and firm goals.

Schedule:

  • Monday to Friday
  • Day shift, 8-hour shifts
